Bar service for large events
A large event is planned differently: not one counter but a scheme of points, flows and preparation. We design the bar operation for the scale and work with the organiser or agency on a single technical brief.
01Large event / festival
A large event is planned differently: points, flows and preparation
With many guests, queues come not from slow bartenders but from the wrong scheme: one point for the whole hall, a long menu at the peak, waves after the stage that nobody planned for. So the large format is designed in advance: more points and staff, prepared bases, a simplified choice at the peak and a clear flow.
We have festival and outdoor experience, and we state honestly the scale we confirm for a specific date and venue instead of making general promises. What we plan
Works well for
- festivals and city events
- large corporate events
- sponsor areas
- concerts and shows with a bar area
02What we plan
We plan
-
Capacity
Points, bartenders and assistants sized to the guest count and the programme’s peak waves.
-
Several bar points
Placed in the flow of guests, queues spread out, separate points for VIP or a sponsor.
-
Batching and a peak menu
Prepared bases and a short choice at the peak, the full menu in calmer periods.
-
The payment model
Guests pay themselves, the organiser’s account, coupons, or a combination. Counting is fixed in advance.
-
Logistics
Access, unloading, storage for stock and empties, water and power, glass collection.
-
Coordination
A single technical brief with the agency and the venue, one coordinator on each side.
03What we organise
Services for a large event
- Mobile Bar The base: several counters, team, glassware and ice, guests paying themselves or the organiser’s account.
- Welcome Bar Fast hand-out at the entrance when guests arrive in bulk.
- Bartender Show A stage act for a large audience.
- Alcohol-Free Bar A separate point for drivers and the daytime part.
04How much does it cost
Cost
A large project is priced by the scheme: number of points, hours, team, equipment, drinks and logistics. Actual volumes are confirmed after the brief and a site visit.
What affects the price:
- Points and team How many bar points, bartenders and assistants, hours of service.
- Equipment Counters, glassware or reusable cups, ice, reserves.
- Drinks and payment model Guests paying, the organiser’s account or a combination; whose purchases.
- Logistics and coordination Venue, access, storage, set-up and take-down, working with the agency.
We work under a contract with the organiser or the agency. The date is secured once the deposit invoice is paid. For events from 1000 guests, a partnership format is possible: we work on mutually beneficial terms with a shared bar-profit split — discussed individually.

07FAQ
Frequently asked questions about large-event bars
How many guests can you serve?
The large format is designed for the specific event: points, staff and preparation for your scale. Exact figures are confirmed after the brief and a site visit rather than promised in advance.
Can there be several bar points?
Yes. At a large event that is usually the main way to remove queues: points in different zones, separate ones for VIP or a sponsor.
Can guests buy their own drinks?
Yes. Guests paying, the organiser’s account, coupons or a combination are all possible. The counting method is fixed in advance.
Do you work with agencies?
Yes. With an agency it works best on a single technical brief with one coordinator on each side.
Can it be outdoors or at a festival?
Yes, we have outdoor experience. Cover, surface, unloading and a bad-weather plan are agreed in advance. We are self-sufficient for water and power; for a long event access to water makes things easier.
Do we need storage?
For a large project, space for stock, empties and props makes the work noticeably easier. We discuss it while planning the site.
Why might the actual price differ from the reference figure shown?
The reference figure doesn't include possible discounts. A manager may apply an additional discount — for example during the low season, for repeat clients, agencies, or very large orders.
